FitGrid Instructor Performance Reports become available on the 1st of every month for the previous month. The reports break down into 7 categories:

Profitability

Instructor Profitability is a derivative of your ARPV value (Average Revenue Per Visit).  ARPV is the blended rate your business earns for one visit.

Retention

The Instructor Retention section of the report provides insights into the return visits a particular instructor is generating to their classes and studio as a whole. 

Retention Rate

  • Retention Rate is the number of clients who have visited an instructor's class 2x or more in a month - divided by the total number of clients who have visited during that same month.

Return Rate

  • Return Rate is the percent of first time studio visitors to a particular instructor, who returned to any other instructor within the month.

Visit Breakdown

  • 1x Visitors: Number of clients with 1 visit to the instructor 
  • 2x Visitors: Number of clients with 2 visits to the instructor 
  • 3x+ Visitors: Number of clients with 3 or more visits to the instructor 

Client Demand

The Client Demand section of the report provides insights into the instructors ability to fill a class, their overall visit volume, and average clients per class.

Average Utilization Rate

  • This capacity utilization metric is important to understanding how full a particular instructor's classes.  For example, a 50% fill rate means if the capacity for the room is 20 people, the instructor is averaging 10 per class.

Visits per Month

  • Visits per Month is the total number of clients the instructor saw within the month. This number includes repeat visitors (i.e. - if a client came back to the instructor 2 or 3 times). 

Unique Clients per Month

  • Unique Clients per Month is the total number of different clients an instructor saw within the month. The greater the delta between TOTAL visits per month and UNIQUE clients per month, the higher an instructor's retention will be. 

Average Clients per Class

  • Average Clients per Class is the total number of clients an instructor saw within the month, divided by the total number of classes taught.

Client Breakdown

The Client Breakdown section of the report provides insights into client payment methods, age and gender breakdowns.  Please note: N/A means the information has not been entered into the client profile.

Pricing Options
Pricing Options will provide a descending list of popular packages used to pay for a client visit to a particular instructor.  These package names will be specific to your studio, but will generally fall into one of these 6 categories:

  • Single/Drop-in Class
  • Membership/Auto Pay
  • Class Card/Punch Card
  • Intro Offer
  • Third Party Revenue
  • Other

Age

  • This is the client age breakdown for a particular instructor. N/A indicates the information is unavailable for these clients, as it has not been recorded in MINDBODY. 

Gender

  • This is the client gender breakdown for a particular instructor. N/A indicates the information is unavailable for these clients, as it has not been recorded in MINDBODY. 

Client Engagement

The Client Engagement section of the report provides insights into a particular instructor's usage of the FitGrid Pro app. It also provides insights into social media clicks and notes.

Follow-Up Usage
Follow-Up Usage is the overall performance of a particular instructor who is sending follow-up messages. 

  • Scheduled: Total number of opportunities to send follow-ups in a month
  • Sent: Total number of opportunities acted upon in a month
  • Sent Percent: Ratio of scheduled opportunities to sent messages
  • Open Rate: The percentage of total sent messages that were opened

Follow-Up Social

  • Social Clicks: Total clicks a particular instructor's social media link received during a month

Notes

  • Shared Notes Written: Total number of notes written by a particular instructor that were shared with other instructors at the studio
  • Personal Notes Written: Total number of notes written by a particular instructor that were marked to remain private

Scheduling

The Scheduling section of the report provides insights into a particular instructor's total classes per month, substitutions made, classes cancelled, and performance by day and time. 

  • Classes Per Month: Total classes taught by a particular instructor for the time period
  • Substitutions: Total classes taught by a substitute instructor for the time period
  • Cancelled Classes: Total classes cancelled for the time period

Performance by Day & Time

  • Class Time: Day and time of a particular instructor's regularly scheduled classes
  • Average Clients Per Class: Average number of clients visiting a particular instructor during a specific day and time
    Average Fill Rate Per Class: Average capacity utilization for a particular instructor during a specific day and time
    Retention Rate: Average percentage of clients who have visited an instructor's class 2x or more within the month

Benchmarking

The Benchmarking section of the report provides insights into how a particular instructor compares to the rest of instructors on staff according to: profit per class, retention rate, return rate, average clients per class and follow-ups sent count.

  • Return Rate: The percent of first time studio visitors with a particular instructor, who returned to any other instructor within the month

  • Follow-up Send Count: Total number of follow up opportunities acted upon within the month
